# Share a life area, goal or project with others

> Invite people by email to a life area, goal or project, choose Can edit or Can view, assign tasks, and leave or remove access when you're done.

Sharing lets other people work with you on one part of your life: a move you're planning with friends, a goal your partner helps with, a project for your family. You share a life area, a goal or a project, and everything inside it comes along. This page covers inviting people, what they can do, answering an invitation, assigning tasks, and ending a share.

> [!NOTE]
>
> Sharing is part of Heym Pro, for both the person who shares and the person who accepts. [Compare plans](/help/plans.md).

## What you can share

You can share a **life area**, a **goal** or a **project**. Access carries down to what's inside it:

| You share | The people you invite also get |
| - | - |
| A life area | Its goals and subgoals, projects, tasks and notes |
| A goal | Its subgoals, and the projects, tasks and notes linked to it or to its subgoals |
| A project | Its tasks, sections and milestones |

Habits are never shared, even when they belong to a shared goal or life area. Single tasks and notes can't be shared on their own. Put a task in a shared project, goal or life area, or link a note to a shared goal or life area.

## Invite someone

**1. Open what you want to share**

Go to the life area, goal or project and open its page.

**2. Click Share**

Click **Share** at the top right of the page.

**3. Add their email**

Type the person's email address in **Add people by email…**, then choose **Can edit** or **Can view** next to it.

**4. Click Invite**

Click **Invite**, or press **Enter**. The person appears under **People with access**, marked **Pending** until they accept.

![The Share button at the top of a project page with its window open: a box to type an email address, with Can edit and an Invite button, then People with access listing Lori Bennett (You) as Owner, Ines Vogel with Can edit and Tobias Lund with Can view, and Copy link at the bottom](https://mintcdn.com/heym/n5OvCilbUvjGlsuj/images/sharing/share-panel.webp?fit=max\&auto=format\&n=n5OvCilbUvjGlsuj\&q=85\&s=535ed752afb743a968555920465ac38f)

The Share window of a project shared with two people

Once something is shared, its **Share** button shows two people instead of a lock. **Copy link** at the bottom copies the page's address, so you can send it to the people you invited. The link opens only for people with access.

## Can edit or Can view

| Access | What the person can do |
| - | - |
| **Can edit** | Everything you can do inside the shared item: add, change, complete and delete tasks, notes, subgoals and projects, and be assigned tasks. They can't invite others, and they can't delete or archive the item you shared. |
| **Can view** | See everything inside, without changing anything. A banner says the item is shared with them as view-only. They can't be assigned tasks. |

New invitations start at **Can edit**. Only the owner, the person who shared, can invite people or change their access.

## Accept or decline an invitation

An invitation appears in the sidebar under **Shared**, with the item's name and who it's from. A number next to **Shared** counts the invitations waiting for you.

![The Shared section of the sidebar with one invitation to the goal Host a dinner for friends every month, its name cut short to fit, from Lori Bennett, with a check mark and a cross next to it, and below it the shared project Move to Lisbon](https://mintcdn.com/heym/n5OvCilbUvjGlsuj/images/sharing/pending-invitation.webp?fit=max\&auto=format\&n=n5OvCilbUvjGlsuj\&q=85\&s=2ac9e72867b4b6e6363d749c83a51ff4)

* Click the check mark to accept. The item stays in your sidebar under **Shared**, and what's inside it shows up in your lists next to your own things. Today and Upcoming leave out tasks assigned to someone else and tasks in anything you can only view, and shared tasks never show in your Inbox (see [Inbox, Today and Upcoming](/help/inbox-today-upcoming.md)).
* Click the cross to decline. The invitation disappears.

If you invite an email address that doesn't have a Heym account yet, Heym sends that address an email invitation. Once they sign up with that address, the invitation waits for them under **Shared**.

## Change someone's access or remove them

Click **Share**, then click **Can edit** or **Can view** next to the person's name.

![The access menu next to Ines Vogel in the Share window, with Can edit checked, Can view, and Remove access in red](https://mintcdn.com/heym/n5OvCilbUvjGlsuj/images/sharing/permission-menu.webp?fit=max\&auto=format\&n=n5OvCilbUvjGlsuj\&q=85\&s=fc8e5bde7c8300299088aaca6add80dd)

* Choose **Can edit** or **Can view** to change what they can do.
* Choose **Remove access** to take the item away from them. This also cancels an invitation that hasn't been accepted yet.

If the person still has tasks assigned inside the item, Heym asks what should happen to them: **Reassign all to...** another person, **Unassign all**, or **Leave assigned**.

When you open **Share** on something inside an item you already shared, such as a goal in a shared life area, the **Share** window says **Shared via** the outer item and lists those people too. Change their access on the outer item.

## Leave something shared with you

**1. Open the shared item**

Click it under **Shared** in the sidebar.

**2. Click Shared**

Click **Shared** at the top right of the page. A window lists the owner and the other people with access.

**3. Click Leave**

Click **Leave** next to your own name, then confirm with **Leave**.

![The Shared window as Ines Vogel sees it on a shared project: People with access lists Lori Bennett as Owner, Ines Vogel (You) with a Leave button, and Tobias](https://mintcdn.com/heym/n5OvCilbUvjGlsuj/images/sharing/recipient-panel.webp?fit=max\&auto=format\&n=n5OvCilbUvjGlsuj\&q=85\&s=3d4c7d2267f53beac4d2d16059d3f08f)

The item disappears from your lists, and any tasks assigned to you there are unassigned. To come back, the owner has to invite you again.

## Assign tasks

Inside a shared item, a task can be assigned to the owner or to anyone who **Can edit**.

1. Open the task.
2. Click **Assignee**.
3. Choose a person, or **Me**. **Clear** removes the assignee.

![A task in the shared project Move to Lisbon with its Assignee menu open, listing Me and Ines Vogel, who is checked, and Clear](https://mintcdn.com/heym/n5OvCilbUvjGlsuj/images/sharing/assign-menu.webp?fit=max\&auto=format\&n=n5OvCilbUvjGlsuj\&q=85\&s=a3cabe70fd3cf0009fc29c0aa123d603)

The **Assignee** line only appears on tasks inside something shared. You can also assign a task while typing it: see [Type a task in one line](/help/quick-entry.md).

Once you've accepted something shared with you, **Views** also lists **Assigned to me**, with every shared task assigned to you (see [Views and filters](/help/views.md)). If you only share your own things, that view isn't listed: open a task someone assigned to you from its notification.

### Notifications

When someone assigns you a task, you get a notification in Heym and an email. The bell at the top of the sidebar shows a dot when you have unread notifications. Click it to see them, click one to open the task, or click **Mark all read**. To mark a single notification read or unread, point at it and click the button at its right (**Mark as read** or **Mark as unread**). The bell appears once you share something or accept a share.

To stop the emails, turn off **Notification emails** in **Settings** → **Notifications**. Notifications in Heym stay on.

## Sharing and your plan

Sharing needs Pro on both sides: the owner to invite people, and each person to accept. On Free:

* Clicking **Share** on something you haven't shared yet asks you to upgrade.
* Accepting an invitation asks you to upgrade. You can still decline it.
* You can still open **Share** on what you already shared, to remove people or switch them to **Can view**. Inviting people and switching them to **Can edit** need Pro.
* You can always leave something shared with you.
* What's already shared stays shared: items you shared, and invitations you accepted while you had Pro, keep working.

Items you can edit in someone else's space count toward your own plan limits. Items shared with you as view-only don't. See [Free, Pro and Lifetime](/help/plans.md).

## Good to know

* **What others see about you.** Everyone in a share sees each other's names and photos. The owner sees the email address of everyone they invited, and everyone sees the owner's. See [Your account](/help/your-account.md).
* **Shared tasks are marked.** In your lists, tasks from a shared item show a small people icon.
* **Deleted tasks go to Trash.** When someone deletes one of your tasks in a shared item, it goes to your Trash, marked **Deleted by** and their name. See [Undo and Trash](/help/undo-and-trash.md).
